Contact Details
In order to send your e-mail we need the contact details of a contact person, that will be included at the end of the mail. This includes name, institution, mail adress and optionally a phone number. If you want to use a mailing list as mail adress, please mind that the recipients of the mailing list should be informed about the e-mail.
Bilingualism
All e-mails should be written completely bilingually in German and English, including invitations to unilingual events. We demand this, so that all students have the possibility to quickly distinguish whether the announced contents are relevant for them.
Format
Send us the text of the e-mail and the subject as plaintext-„.txt“-file. Text formatting, clickable links or integrated images are not intended. If you want to refer to your website, please write out the URL in the text („http://tf.fau.de“). You can be creative yourself in choosing additional characters for accentuation.
Processing Time
Please send us your draft one week before the latest date to send the e-mail in order to grant us time for the process and possible further inquiries.
Gender-neutral Language
Even though it is not so much of an issue in the English language, please do keep in mind to address people of all genders in your text. For example, when talking about a generic person, instead of „he“ you can use „one“, „he or she“, or „they“.
Attachments
In order not to fill up in-boxes with mails via the mailing list, attachments to the mail cannot be sent. If you want to refer to e.g. a flyer, please upload the file to your own web server or to a file-sharing-provider and write the link to the file into the text.
Frequency and Relevance
One reason why the e-mails on the mailing lists are not read by students is that the quantity of e-mails is too high. Therefore, we want to keep the amount of e-mails on the mailing list as low as possible. If you are part of a large student group, you can, for instance, summarize the information about your events in monthly newsletters. The upper limit is:

one e-mail per week (in 7 days),

two e-mails per month (e.g. between April 5th and May 5th) and

four e-mails in three months (respectively).
Please make sure that no information is sent twice and each e-mail has relevant content. Even when just skimming the text, the additional benefit to the reader should be clear, in order to avoid the impression of spamming through the mailing list. Related to major events, you can send an additional e-mail independently of these regulations. It is up to our decision which events are handled as such. Please ask us early concerning this matter. Please note that we don’t send e-mails that have already been or will be distributed to students via other mailing lists of the university, faculty, a department or a major.
[TF Extern]
The mailing list (TF extern] allows university-external actors to send e-mails promoting events in which strudents can participate. These could be non-profit or governmenatal offers , as well as those those offering advanced training in engineering (e.g. excursions, factory tours, competitions and job fairs). Whether such an offer is ultimately advertised via the circulart mailing list is always at the descrition of the sending institution (e.g. SSC, FSV, etc.). Surveys and offers from financial and insurance service providers are explictely not desired. Furthermore, depending on the sending institution’s decision, offers such as those from the deployment agency or from non-profit companies, associations and initiatives (e.g. blood donations, training courses) can be sent.
Additionally, the same basic rules from[TF stud. init] also apply here:
- All mails should be written completely bilingually in German/English
- If you want to address all students, please make sure to do so gender-neutrally
- To avoid clogging up mailboxes, mail attachments cannot be sent
- One of the reasons as to why the mails sent by the mailing list are not read by many is due to the volume of incoming e-mails being too high. Therefore, each actor is only allowed to send a maximum of two mails per semester
